3.     Preparation Procedures (Sectional Aims):

3.1.  20^th December – 14^th January:

·         Venue confirmation;

·         Back-up group, hosts/hostesses, programs recruitment;

·         Hosts/hostesses and programs selection (1^st run);

·         Sponsorship contact;

·         VIP list and first touch;

·         Financial-assisting application to Chinese Embassy.

3.2.  15^th January – 31^st January:

·         Hosts/hostesses training;

·         Program preparations;

·         Sponsorship confirmation;

·         Hosts/hostesses and programs selection (2^nd run);

·         VIP contact (2^nd run).

3.3.  1^st February – 17^th February:

·         Program rehearsals;

·         Sponsorship confirmation;

·         VIP confirmation. 

4.     Back-up group recruitment:

4.1.  Objectives: Chinese students or scholars in Oxford University (committee members of OX-CSSA preferable).

4.2.  Requirements: candidates must be enthusiasm, generous, and team-working; also require to dedicate to this event absorbedly (good balance between study and work). Some positions may call for expertise (e.g. photographer).

4.3.  Positions:

·         Program advertising & planning: 2;

·         Program managing & communications: 2;

·         Photographing, video recording, and writing: 2 – 3;

·         Lighting, sound, and music: 2;

·         Hosts/hostesses trainer: 2;

·         Sponsor contacting: 5 or more;

·         VIP contacting: 2 – 4;

·         Chinese-to-English translating: 4 – 6;

·         Marketing & Tickets: 2 – 4.4.4. 

 Recruitment time: 27^th December 2009 – 31^st December 2009. 

5.     Hosts/hostesses recruitment:

5.1.  Objectives: Chinese students or scholars in Oxford University (committee members of OX-CSSA preferable).5.2.  Positions:

·         Chinese hosting (male): 1;

·         Chinese hosting (female): 1;

·         English hosting (male): 1;

·         English hosting (female):

1.5.3.  Requirements: enthusiasm and generous; standard and fluent Chinese/English speaking; require experience in hosting.5.4.  Recruitment time: 27^th December 2009 – 14^th January 2010.

5.5.  Selection time: 14^th January 2010 – 31^st January 2010. 

6.     Programs recruitment:

6.1.  Objectives: Chinese Programs either from University/college, high school, Chinese societies, Chinese communities within Oxford and around its nearby regions.

6.2.  Requirements: must satisfy at least one of the following four standards: traditional, diverse, creative, and enjoyable.

6.3.  Recruitment time: 27^th December 2009 – 14^th January 2010.

6.4.  Selection time: 14^th January 2010 – 31^st January 2010.
